Position Overview
As Onsite Event Coordinator, you will be the face of WEST at our Boston-area events—welcoming guests, supporting speakers and sponsors, and ensuring a smooth, engaging experience for attendees. You’ll also play a key role behind the scenes, coordinating logistics, managing setup and breakdown, and leading our group of passionate volunteers. This position will average 3-6 hours per month.

This is an exciting opportunity for someone who is people-oriented, highly organized, and passionate about supporting women in STEM. You'll represent WEST’s welcoming and inclusive spirit at events ranging from workshops and panels to networking and community-building gatherings.

Key Responsibilities

  • Serve as the primary onsite point of contact at WEST events for attendees, speakers, sponsors, and the Board of Directors.

  • Coordinate event logistics including room setup, registration, AV equipment, refreshments, and signage.

  • Greet and check in attendees, providing a warm and professional first impression of WEST.

  • Support speakers and facilitators with materials, timing, and logistics.

  • Represent WEST's mission and values through positive engagement with the community.

  • Assist with post-event wrap-up including clean-up and event debriefing.

Qualifications

  • Outstanding communication and interpersonal skills.

  • Strong organizational skills and attention to detail.

  • Ability to manage time effectively.

  • Passion for WEST’s mission of supporting women in STEM and fostering inclusive professional communities.

  • Comfort working independently and proactively in a fast-paced, in-person environment.

  • Must be local to the Boston area and available for evening events (typically 1–3 times per month).

Bonus Skills

  • Experience managing or coordinating volunteers.

  • Familiarity with AV equipment and basic tech troubleshooting.

  • Background in or knowledge of STEM industries and communities.
